This Division is divided into two Units and managed by the Chief Deputy Clerk of the Board.
Unit I provides secretarial support services to approximately 40 boards and commissions. This is accomplished through collaboration with Chairpersons to develop agendas and then prepare and post them in compliance with legal requirements distributing agenda packet material to commissioners and staff, attending meetings, recording actions and writing action minutes, writing transmittals to represent commission recommendations/requests/reports back to the Board of Supervisors; and advising commissioners about Robert's Rules of Order (i.e., parliamentary procedure) or compliance with certain State or County legal mandates.
Unit II Board Clerk staff attend meetings of the Board of Supervisors and various Board Committees and write minutes for same. Workload averages 36 Board meetings per year and requires documentation for approximately 2,200 separate items and referrals for follow-up actions or reports back of 100+ items.
