Purchasing Official Record Copies

Anyone may view or purchase a copy of any document (official record) that was recorded at the Santa Clara County Recorder's Office after 1850. Examples of types of documents that are commonly recorded are mortgages, deeds, liens, abstracts of judgment, and notices. Official records are filed by the parties' names as they appear on the recorded document. To purchase a copy of an official record, you must supply:

  • The Recorder's Serial Number assigned to the document (also known as document number) OR
  • The book and page number of the document (for documents recorded prior to 5/1/95)

If you don't know either of these numbers, you may search using the Santa Clara County Clerk-Recorder's facilities at our main office. If the document was recorded in 1981 or later, you may also search the official record index on-line. In many cases the index data is sufficient for you to locate the proper document. If you need to view the document contents, you must come to Santa Clara County Clerk-Recorder's facilities to view the documents. The Clerk-Recorder's Office does not perform any searches or provide any search service. If you require a title search, you may contact any title company for title search services.

Official Record copies may be ordered plain or certified. Certified copies have the addition of the Recorder's endorsement stamp.

 

Military Discharge (DD-214): Discharge documents are not available for online ordering.  To obtain a certified copy of form DD214, you must be authorized under section 6107 of the Goverment Code.  If authorized, you must also fill out the form completely and submit it via fax, email, in person or by mail (How to Order Official Records Copies).


Map Documents: Map documents are not available for online ordering. Please submit your request by fax, in person or by mail (How to Order Official Records Copies).
