Vendor Registration

Thank you for your interest in doing business with the County of Santa Clara!

The County currently uses two systems to support vendor registration efforts.    Services provided by BidSync are referred to as  electronic Request for Proposal (eRFP)  while services provided by SAP Ariba are referred to as Procure-2-Pay (P2P).
Why register?
As a registered vendor, you will become part of the County’s vendor database for future solicitations resulting in one-time or contract opportunities.
Do I have to register in two systems?
Yes,the County encourages vendors to register in both systems, eRFP and P2P, to be notified of all bidding opportunities as the County currently issues solicitations in both systems.
Are there any fees?
No. Both online portals allow vendors, at no charge, to register and participate in bidding opportunities within the County.
How much time is needed to register?
Online registration can be completed within 15 minutes in each system.
How does my organization become aware of opportunities?

To help your organization stay connected to the County now and in the future, the County strongly encourages organizations actively maintain their company profiles in two key areas: users and commodity or classification codes. Users are individuals with granted access rights who represent their organization within the two vendor databases, eRFP and Procure-2-Pay, where the County issues solicitations. Commodity or classification codes are codes used to identify products or services purchased or sold.

Adding additional users with a specific role of responding to solicitations helps your organization direct communications to the correct individual. Selecting commodity or classification codes helps the County identify the vendors, within each system, who supply and provide goods and services that can meet the County’s needs.

Aside from updating your organization’s profile, additional guiding information can be found in the 'Doing Business with the County' page.
